Full Time Personal Assistant in Dallas (75240)
|We’ll need you to bring your ‘A game’ as our personal and administrative executive assistant. We are a family business who operates mostly from our home base so that’s where you’ll work most of the time. You need to know going on, the offices are upstairs (two grand staircases), so climbing stairs (sometimes carrying packages up to 30 lbs.) mustn’t be an issue. (Think built-in cardio!). As far as dress, we’re a conservative group, so please no bare shoulders, knees, or chest—just trying to keep it classy in the workplace!
Naturally, we’ll need you to be comfortable (think intermediate-to-advanced level) with many of the workplace software programs—Excel, Microsoft Office, QuickBooks, and more on both PCs and Macs. And experience is a must, a minimum of five years—either as an administrative assistant in an office setting or working for owners such as ourselves in family-owned businesses. Of chief importance is communication—both verbally and written. As a representative of both our business and our family, you’ll need to be top-notch.
We travel for work and for leisure and as such, our itineraries can sometimes be a bit complicated. We’ll need you to be a whiz at handling all the details to make our trips as seamless as possible. Along with our travel comes lots of coordination of our calendars—knowing who is going where, what they’ve got booked for next Wednesday, and can they make a meeting Monday at 9 a.m. There’ll be a bit of accounting too—things like reconciling and managing business and personal insurance policies, bank accounts, and credit cards. The A/R and A/P may need a bit of tallying from time to time too. All the numbers, all the accounts!
Beyond the business responsibilities, we’ll need a bit of help in terms handling and coordinating our personal and home-related tasks. Things like running errands, managing home projects (being the contact person for and handling quotes and contracts with repairmen, interior decorators, landscapers, etc.), and maybe even returning a dress that didn’t work out.
And now the biggie—flexibility! (And we’re not talking Pilates-style flexibility!) It is absolutely imperative that your schedule be flexible enough to accommodate our manager’s busy days and nights. Here’s what that looks like – being on-call evenings, Sundays, and the occasional holiday; available to travel as needed to family homes in Miami and NYC, and even open to working from your home from time to time.
It’s a lot—we know! But it is also a rewarding opportunity to become a highly valued and integral member of our business and our family. We’ve got lots of comings and goings and we need the grandest orchestrator of them all to keep the family business and the family! running as smoothly as possible.
